SUMMARY

The Institute has a new opportunity available within its Human Resource team for an HR Assistant. The HR Assistant will work under the direction of the Vice President of Human Resources. This entry to junior level role will gain administrative and project support exposure in key HR areas including Recruiting, Onboarding, Immigration, Compliance and HR systems development.

Applicants must have a strong background in ADP (TotalSource) software system, an exceptional eye for detail, an organized work style, and the required ability to secure and manage confidential work matters/material. A successful candidate must work well in a mutually supportive, collaborative environment.

RESPONSIBILITIES

  • Provide support to the VP – Human Resources with compliance tasks and internal systems development.
  • Assist with day-to-day operations of the HR functions and duties.
  • Can build and maintain excellent and credible relationships with manager and employees.
  • Maintains confidential department files to include personnel files, workers compensation, unemployment compensation and benefits files.
  • Process employment verification letters.
  • Support with recruitment tasks, including developing new hire administration/documentation and onboarding activities. Submit Employee Rejection Letters.
  • Coordinate nationwide advertising efforts and research new resources for job postings.
  • Produce monthly newsletter, featuring updates on HR policies and protocols.
  • Administer/update internal HRIS, including recruitment queries.
  • Process new hire background checks.
  • Monthly Birthday Emails, Coordinate Employee Social Events (Weddings, Baby Showers)
  • Draft New Hire Welcome Letters.
  • Manage Immigration internal e-documents.
  • Manage Employee Metro Subsidy.
  • Order New Hire Gifts (PIIE, Pens, Tee-Shirts, Mugs, Portfolio's) as needed.
  • Monitor and Track Employee Leave Balance in partnership with Senior Accountant.
  • Monthly Benefits Invoice Reconciliation.
  • Revise and update organizational chart as needed.
  • Compile and update employee records (hard and soft copies).
  • Act as a liaison with accounting, processing invoices and leave reconciliations as required.
  • Offer ideas to enhance and grow PIIE’s mission and HR vision.

QUALIFICATIONS

  • Bachelor's degree in Human Resource Management or related field with one to  two years of experience in an HR environment; or an associate degree in Business or related field with 2- 3 years of experience in an HR environment.
  • Intermediate / advanced experience with Microsoft Office Suite including Word, Excel, PowerPoint, Skype and Teams.
  • Calendar Management experience in Outlook.

Preferred Qualifications:

  • Experience using ADP or similar HR software.
  • Demonstrated knowledge and use of video platforms including Webex and Zoom.
  • The successful candidate will have strong initiative and an interest in developing a broad knowledge of Human Resources. Time management, maintaining confidentiality and communication skills are key in working with varied functions in HR.

Retirement Accounts: After one year of employment, employees are eligible for the Institute's retirement plan. In this plan the Institute contributes 10 percent of the employee’s salary each month to an account with TIAA/CREF. The employee will be 50 percent vested after two years of service and fully vested after three years. Once the employee is fully vested the Institute’s contribution in the employee’s account belongs to the employee even after termination. 

Employees may also participate in a 403(b) on a voluntary basis. The employee determines the amount of the contribution which is then withheld from each paycheck and deposited into a retirement account.

Vacation/Sick Leave: Vacation leave (3 weeks) is for full-time employees and begins to accrue on their first day of employment.  Sick leave (12 days) is granted to full-time employees for illness or injury, or a doctor's appointment.

Holidays: Unless otherwise specified, the holiday will be observed on the day designated by the Federal Government.

PHYSICAL DEMANDS

This person will typically sit at a desk for extended periods of time throughout the day and use a computer to include monitor, mouse, and keyboard. Some walking to and from various offices, and the printer will be required. Some bending and stooping may be necessary to do filing. Occasionally you may be expected to lift boxes of up to 25 lbs. WORK ENVIRONMENT

The work environment is a moderately open one with a combination of cubicles and offices. The noise level is quiet. The office, lavatories and building are all handicapped accessible. WORK SCHEDULE

Monday through Friday – 40 hours per week. Must be able to work a flexible schedule based on the needs of the business.
